Advancement Records Manager 
Reporting to the Assistant Dean of Advancement (ADA), the Advancement Records Manager (ARM) is responsible for processing and recording all charitable contributions to Lake Forest Academy, updating donor records, and extracting necessary reports and information via the institution’s donor database (Veracross). 
Key Responsibilities & Duties (not comprehensive): 

  • Following IRS guidelines, process and record all contributions to Lake Forest Academy within two business days of gift receipt.
  • Prepare appropriate acknowledgement of all gifts within three business days of gift processing/entry, and file/record acknowledgements in the donor database.
  • Create a weekly gift posting and circulate to appropriate staff members.
  • Working in conjunction with the Director of Prospect Management and Advancement Data (DPMAD) and the ADA, create and follow effective record keeping protocols to enhance the department’s ability to gather and retrieve donor and prospect information.
  • Maintain donor files and keep data collection current and accurate, including posting such constituent contact information updates as email addresses, employment changes, relationship changes, tracking reports, etc.
  • Produce necessary reports via the donor database including, but not limited to, monthly annual giving and revenue reports.
  • Assist with the coordination, logistics, and fulfillment of Advancement events, and attend LFA activities as required by the Dean of Advancement (DA) and/or ADA.
  • Actively participate in and contribute to the life of the LFA community.

Qualifications and Experience:

  • Bachelor’s Degree or equivalent work experience
  • Excellent typing skills: High speed and accuracy when entering data
  • Microsoft Office Suite and Google Suite proficiency (certification preferred)
  • Experience using a relational database or CRM
  • Experience in report preparation with a clear understanding of and affinity for performance metrics
  • Attention to detail: Ability to identify even minor errors in data
  • Organizational skills: Ability to manage large volumes of data efficiently
  • Confidentiality: Maintaining privacy when handling sensitive information
  • Experience working in an academic institution is highly preferred
  • Knowledge of best practices for receiving and recording charitable donations
  • Strong written and oral communication skills
  • Willing to occasionally work non-traditional hours and go above assigned duties
  • Excellent organizational skills
  • Desire to work as a member of a team
