Knowledge of the disciplineis normally obtained through a formal, directly job-related 4-year degree from a college or university or an equivalent in-depth specialized training program that isdirectly related to the type of work being performed.

The Director of Gift Administration is responsible for leading and overseeing all aspects ofgift processing, documentation, and fund administration for the institution’s advancement operations for the University of Houston System, its universities, and its support organizations. This role ensures the accurate and timely recording, depositing, and receipting of philanthropic gifts in alignment with federal and state regulations, CASE standards, and institutional policies. The Director works collaboratively with stewardship, fundraising, treasury, accounting, and donor relations colleagues to improve operational efficiency and ensure service excellence.
Additional Job Duties:
- Oversee the administration of all charitable pledges and gifts, including cash, check, credit card, ACH, wire, securities, matching gift, planned gift, and gift-in kind tender types.
- Ensure accurate and timely gift entry, processing, and documentation within the fundraising database (BBCRM).
- Review complex gifts and gift agreements to ensure appropriate recording based onrecording standards while maintaining alignment with institutional policy and donor intent.
- Serve as the primary liaison to treasury and accounting for fund setup and reconciliation, collaborating on revenue classification and reporting.
- Serve as primary liaison to Systems & Reporting Team regarding CRM gift recording standards.
- Interpret and apply federal and state regulations, CASE standards, and University of Houston System policies for charitable gift acceptance and receipting.
- Develop, update, and enforce institutional gift administration policies and procedures.
- Ensure compliance with donor restrictions and institutional policies for all funds including endowed and restricted current operations funds.
- Supervise a team of gift administration professionals and student workers.
- Provide training, mentorship, and performance management to staff to support accuracy and professional development.
- Collaborate with fundraisers, donor relations, finance, accounting, and stewardship partners to support a seamless donor experience and sound fund management.
- Participate in strategic planning for advancement operations and donorsystems.
- Generate reports related to gift activity, fund balances, and donor documentation for internal and external stakeholders.
- Evaluate and ensure symmetry between CRM and General Ledger records for reconciliation.
- Support fundraising campaign gift tracking by assessing progress, accuracy and timeliness of gift entry.
- Assist in internal and external audits of gift records and restricted funds.
Qualification Preferences:
- Experience with fundraising databases (e.g., BBCRM, Advance, Raiser’s Edge)andfinancial systems.
- Knowledge of higher education advancement operations and campaign environments.
- Deep knowledge of charitable giving regulations, gift types, and nonprofit accounting principles.
