A Brief Overview
The Manager of Philanthropic Accounting is responsible for ensuring the accuracy, timeliness, and compliance of all philanthropic gift processing, pledge management, donor data integrity, and financial reporting for Regional One Health Foundation. This position serves as the central point of coordination for all incoming donations and constituent record maintenance, ensuring adherence to GAAP, IRS, and HIPAA standards. By consolidating and professionalizing gift and data management functions, this role strengthens the Foundation's fiscal integrity, supports campaign reporting accuracy, and enhances donor retention and stewardship.

What you will do

  • Gift Processing & Donor Accounting • Oversees the accurate and timely processing of all incoming donations, including checks, credit cards, stock, and wire transfers. • Manages recurring donations, acknowledgment letter selection, pledge reminders, and invoicing for event sponsorships and tickets. • Ensures proper coding of gifts by campaign, fund, appeal, and solicitor. • Generates donor tax receipts and acknowledgments within 24–48 hours of receipt. • Serves as the primary point of contact for all inquiries related to gift and pledge processing. • Maintains compliance with IRS, HIPAA, and internal foundation policies.
  • Donor Data Management & Reporting • Ensures data accuracy, completeness, and consistency in Raiser’s Edge and related systems. • Creates and maintain donor and constituent records for individuals, corporations, foundations, volunteers, and grateful patients. • Establishes and monitor data hygiene standards, gift entry protocols, and audit trails. • Produces accurate and timely donor reports, campaign summaries, and financial dashboards for leadership and auditors. • Collaborates with Advancement Services to ensure synchronization of data between financial and fundraising systems.
  • Compliance, Oversight, and Continuous Improvement • Ensures compliance with Generally Accepted Accounting Principles (GAAP), IRS charitable contribution requirements, HIPAA regulations, and data privacy standards. • Develops and maintain gift processing and data management policies and procedures. • Partners with Finance to ensure reconciliation between Raiser’s Edge and the Foundation’s financial systems. • Identifies opportunities for process improvement to enhance accuracy, efficiency, and turnaround time. • Provides training and guidance to staff on gift processing and data entry standards.

Qualifications

  • Bachelor's Degree Accounting, Finance, Business Administration, or a related field. Required
  • Equivalent combination of education and/or experience may be considered.
  • Minimum 5 years experience nonprofit accounting, gift processing, or donor database management. Required
